For most people, a free online petrol bill generator beats a manual Word or Excel format on every axis that matters: it is faster (about two minutes), it auto-calculates litres × rate so the total is never wrong, and it produces a clean, professional PDF. A Word or Excel template is free too, but you do the maths by hand, fight the formatting, and risk obvious errors — the same trade-offs we unpack for every document in bill format in Word vs. online generator. Below is the full comparison, a sample bill, and how to make one online.
Quick answer: generator vs manual format
- Speed — generator ~2 minutes; Word/Excel 5–15 minutes.
- Accuracy — generator auto-computes the total; manual relies on you or a fragile formula.
- Looks — generator gives a fixed professional layout; Word/Excel often looks misaligned.
- No GST line needed — petrol and diesel are outside GST; a good generator already knows this.
- Cost — both are free; the generator just saves time and avoids mistakes.
- Best for — anyone recreating a genuine receipt for records or honest reimbursement.
What a petrol bill must contain (and why)
| Field | Example | Why it matters |
|---|---|---|
| Petrol pump / dealer name | Sharma Fuels, Indian Oil | Identifies the supplier; expected on any valid receipt |
| Address | 22 Ring Road, Jaipur, Rajasthan 302012 | Shows where the fuel was bought; place of supply |
| Dealer GSTIN | 08AADCJ1290Q1Z6 | Pumps are GST-registered dealers; GSTIN proves authenticity |
| Bill / receipt number | RJ-2026-00891 | Unique reference for record-keeping and audit |
| Date & time | 01 Jun 2026, 6:18 PM | Required for reimbursement periods and expense logs |
| Vehicle number | RJ14 CV 7788 | Links the fuel to a specific car/bike for claims |
| Fuel type | Petrol (MS) | Distinguishes petrol, diesel, CNG and premium grades |
| Rate per litre | ₹104.72 | The pump price on that date; basis of the total |
| Quantity (litres) | 19.10 L | The volume dispensed |
| Total amount | ₹2,000.15 | The amount actually paid |
| Payment mode | UPI / Card / Cash | Reconciliation and proof of payment |

The legal and tax bit (read this before you copy a format)
Two facts about petrol bills trip up almost every manual template:
- Petrol and diesel are outside GST. As of FY 2025–26 they are not under the GST regime — they are taxed via central excise duty + state VAT, both already baked into the displayed pump price. So a petrol bill must not carry a separate CGST/SGST split. Any Excel sheet that bolts on an 18% GST line is simply wrong. (See the CBIC GST portal(opens in new tab) and GST Council(opens in new tab) for the list of items currently kept outside GST.)
- The pump dealer is still GST-registered. The fuel station's business (its commissions, lubricants, store sales) sits under GST, so the dealer has a valid GSTIN in the standard 15-digit format (e.g.
08AADCJ1290Q1Z6). Showing it adds authenticity.
On honesty — this matters for your records and your rankings of trust with an employer. Recreating a genuine purchase you actually made (because the thermal slip faded, or you need a legible copy for your expense file) is legitimate record-keeping. Inventing a bill for fuel you never bought is forgery and tax fraud under the Bharatiya Nyaya Sanhita / Indian Penal Code(opens in new tab) and can be treated as an attempt to claim a false deduction under the Income Tax Act(opens in new tab). A generator is a formatting tool, not a licence to fabricate. We cover this line in detail in can you create your own fuel bill?.
If you are claiming this fuel back at work, read how to claim fuel reimbursement from your employer and the field-by-field guide in how to generate a petrol bill for reimbursement so your bill matches what finance expects.
How to create a petrol bill in 2 minutes
You do not need Word, Excel, or any install. Using the fuel bill generator:
- Pick the petrol/fuel template — the layout already has the correct fields and no GST line.
- Enter the pump details — name, address and GSTIN (saved for next time).
- Add the purchase — fuel type, rate per litre and quantity; the tool computes the total automatically.
- Add vehicle number, date/time and payment mode for a complete, claim-ready record.
- Download a clean PDF — print it or send it on WhatsApp instantly.

Common mistakes to avoid
- Adding a CGST/SGST line to a petrol bill — fuel is outside GST; this instantly flags the bill as fake or careless.
- A total that doesn't equal litres × rate — the fastest way a finance team spots a bad manual bill.
- Using a rate that didn't apply on that date — petrol prices move; match the day's pump price.
- Leaving out the vehicle number, which most reimbursement policies require to link fuel to a car.
- Reusing the same bill number across multiple receipts — keep each reference unique.
- Fabricating a purchase — recreate only genuine transactions; anything else is fraud, not formatting.
Running a vehicle on a different fuel? The same approach applies to a diesel bill for fleet management and a CNG bill for your vehicle — both stay outside GST and follow the litres/kg × rate pattern shown above.
