A reimbursement-ready petrol bill must clearly show the fuel station name and address, the date, fuel type, litres, rate per litre, and total amount — ideally with your vehicle number and payment mode. Get those fields right and most employers will accept it as proof for a genuine fuel claim. Here is the exact format, a filled sample, and the one rule you must not break. (Running a diesel fleet or a CNG vehicle? The same fields apply with minor tweaks.)
Quick answer: fields a fuel bill needs for reimbursement
- Fuel station name (e.g. Indian Oil, Bharat Petroleum, HP)
- Station address with city, state and PIN
- Date (and time, if available) of purchase
- Fuel type — Petrol / Diesel / CNG
- Quantity in litres and rate per litre
- Total amount paid
- Vehicle registration number

No GST line on fuel? That's correct. Petrol and diesel are currently outside the GST regime in India — they attract central excise duty and state VAT, which are built into the per-litre rate, not shown as CGST/SGST. So a genuine pump receipt has a station GSTIN but no separate GST breakup on the fuel itself. (See PPAC, Ministry of Petroleum(opens in new tab).)
The legal line — read this before you generate anything
This is where we are more honest than most sites, because it protects you:
- Yes Legitimate: keeping a clean digital record, recreating a faded receipt for a fuel purchase you actually made, or producing an expense voucher to attach to your claim.
- No Fraud: fabricating a pump receipt for fuel you never bought, inflating litres or amount, or back-dating to claim more. That is invoice fraud and can lead to recovery, termination, or prosecution.
A generated bill is a formatting and record-keeping tool, not a license to invent expenses. For high-value or audited claims, always retain the original fuel-pump receipt as well. We cover exactly where the line sits in can you create your own fuel bill?, and the end-to-end claim process in how to claim fuel reimbursement from your employer.
How to make a reimbursement petrol bill in 2 minutes
Using the fuel bill generator:
- Choose a fuel-bill template styled like a real pump receipt.
- Enter the station details — name, address, GSTIN if shown.
- Add the purchase — date, fuel type, rate, litres; the total computes automatically.
- Add your vehicle number and payment mode so it ties to your claim.
- Download the PDF and attach it to your expense sheet.
Generator vs manual format
| Online generator | Word / Excel template | |
|---|---|---|
| Looks like a real receipt | Yes | Partial |
| Auto total (rate × litres) | Yes | No Manual |
| Time | ~2 min | 10+ min |
| Consistent across claims | Yes | Partial |
| Cost | Free | Free |
Common mistakes to avoid
- Rate per litre wildly off from market price — instant red flag in audit.
- Missing vehicle number — many policies reject the claim outright.
- Date outside the claim/travel window.
- Rounding litres to a suspiciously clean number (e.g. exactly 20.00 L).
- Submitting only a generated bill for a large claim with no original backup.
